Using virtual services instead of paying a salary to a permanent or part time employee makes good sense in so many ways. Hiring a temp through an agency can be expensive and you may not get the same person each time. Establishing a relationship with a virtual assistant makes sense.
Types of Transcription:
Interviews - Telephone & Face to Face, Meetings, Broadcasts, Academic Papers, Lectures, Market Research, Conferences, Dissertations, Research, Educational, Focus Groups, Conference Calls, Medical Consultations, Medical-legal/Insurance. Time coded Radio and TV recordings.
UK / South African / USA / Canadian / Australian virtual work experience and broad global and general / business / marketplace knowledge and experience gives a highly professional and informed level of the services offered.
It is preferred that all sound files and documents be assessed prior to acceptance. If you make an enquiry you will be given a basic guideline of what is involved and possible costs. Once the sound file or document has been fully assessed, each job will be given a quote and corresponding order reference number.
Meetings / Focus Groups / Conference Calls etc., with more than two participants and / or poor or noisy recordings will incur a higher fee, as these are far more time consuming and harder to transcribe. Dictated / printed documents that are not just straightforward text, ie. contain tables, organograms and the like, will incur a higher fee, as these are also time consuming.
We reserve the right to reassess and re-cost work if it turns out to be different to the client description. By the same token, should we quote on work and the work takes less time than anticipated your invoice will reflect this.
A good faith deposit will generally be required for large, one off jobs. This will be in the region of 25% - 50%. of the fee. Monthly contracts / retainers by arrangement for regular work and clients. Invoices are payable on presentation, and incur a 2.5% per month penalty if not paid on presentation.
Depending on the size, files may be delivered via email, or uploaded to one of the many free download sites [if you have never done this before Sendspace or Dropbox are easy to use [ http://www.sendspace.com / https://www.dropbox.com ]. Files can also be downloaded via Skype and Messenger if not too big, or sent via snail mail. Whilst no one can offer 100% guarantees as to security in this day and age, Cape Winds Virtual undertakes to do its best in this regard and all files are treated with the greatest confidentiality; sound files and documents being deleted within 7 days of completion. [the time lag is to allow for any client problems in respect of losing material and needing to have it re-sent].

A COUPLE OF VERY IMPORTANT POINTS:
Attention to detail and quality never come cheap. If you have gone to the trouble, for example, of conducting an important interview, why would you want to end up with a badly transcribed and unresearched transcript? The same applies to dictation, particularly medical, legal or technical dictation where incorrectly transcribed work can cause all sorts of problems.
Anyone can dash off something quickly, offering quick turn around times with no proofreading, and therefore cheaply, but good service always takes more time, care and effort.
Cape Winds would also ask for the courtesy of a reply to any quote or information requested by you, even if only to say, thanks, but no thanks.
